Most people have never watched an appliance repair happen from start to finish, so the visit is a bit of a black box: someone arrives, something gets taken apart, a decision gets made. This is what is actually going on, in the order it happens — and the handful of things you can do beforehand that change how the visit goes.
Why a symptom is not a fault
This is the single most important thing to understand about the trade, and it explains almost everything else about how we work.
"My refrigerator is not cooling" is a symptom. Behind it sit at least five different faults:
- •A stalled evaporator fan — cold air is being made and is going nowhere.
- •A defrost system that has iced the evaporator solid.
- •A stuck damper between compartments.
- •A failed start relay or capacitor on the compressor.
- •A sealed-system leak.
Those five are separated by a wide margin in both work and parts. An estimate that covers all of them is useless to you, and a confident answer over the phone is a guess dressed up as expertise. The same is true of "my washer will not spin", "my oven is not heating" and every other complaint people describe on the phone.
So the order is: diagnose, then quote. The technician identifies the actual failed component, gives you one figure covering parts and labour, and you decide before anything is dismantled. That figure does not move once the machine is apart.
What the technician actually does, in order
Talks to you first. What is it doing, when did it start, has anything changed — a new filter, a power cut, a kitchen job, a machine that was moved. That conversation regularly saves twenty minutes of testing.
Checks the installation before the appliance. In Chicago's housing stock this is not a formality. A dishwasher fitted last year onto a cast-iron stack laid a century ago throws drain faults that have nothing to do with the machine. A dryer in a basement with a long masonry vent run will cook its own thermal fuse no matter how many times you replace it. A modern range on an original circuit will nuisance-trip. We test the vent, the drain and the circuit before condemning a component.
Asks the free question in a multi-unit building. Does the flat above or below have the same symptom, and does another fixture in the same kitchen behave the same way? In a two-flat, a converted three-flat or a tower, a slow fill or a slow drain is as often the shared riser as the appliance. That answer takes a minute and occasionally ends the visit right there — correctly.
Works the system in order. Every appliance has one. On a washer it is drain, then fill, then drive, because a machine that will not spin is usually failing to drain first. On a dishwasher it is supply, heat, circulation, drain. On refrigeration it is airflow, then defrost, then the sealed system — cheapest and most likely first, not because it is quicker but because it is the shortest path to the right answer.
Names the fault and the price. One number, parts and labour together, before anything is opened.
Tests it before leaving. A repair that has not been run through a full cycle has not been finished.
The four things to have ready
These genuinely decide whether the job completes on the first visit.
The model number. The most useful thing you can give us. It is on a sticker inside the door frame, behind the kick plate, inside the fresh-food compartment on the left wall, or on the rear panel. Photograph it and send it through when you book. With it, the technician can load the components that typically fail on that exact platform before setting off.
A plain description of the symptom. What the machine is doing, not what you think has failed. "It fills, then stops and beeps" is far more useful than "I think it's the pump".
The error code, written down exactly. Codes narrow the search usefully. They do not end it — a code reports the condition the machine detected, not the component that caused it — but quoted precisely, it is real information.
Your building's access requirements. If you are in a managed building, this is the one that most often decides whether the visit happens at all. Most Chicago associations and management companies want a certificate of insurance on file before a contractor is admitted, the freight elevator reserved inside its permitted hours, and in the larger buildings a dock window. Tell us the building and unit at the booking and our coordinator arranges it before the technician is dispatched.
What happens if a part has to be ordered
The van carries what actually fails — pumps, valves, thermistors, fuses, belts, igniters, fan motors, and the common control boards for the platforms we see most. That inventory is why the majority of calls finish on the first visit.
What no van carries is every board and panel for every brand. When something has to be ordered, you get the lead time at the quote rather than after you have committed, and the technician books the return visit before leaving.
When we tell you not to do it
We turn work away, and it is worth knowing why. Where a repair approaches the value of replacing the machine and the appliance is past two-thirds of its expected life, replacing is usually the better decision and you will hear that.
The exception is built-in and integrated equipment, which is common in the city's rehabbed kitchens. Replacing a fitted refrigeration column or a built-in double oven means a cabinetmaker as well as an appliance, so faults that would end a freestanding machine's life are straightforwardly worth repairing. We give you the picture for both paths and let you choose.
After the visit
Both the parts we install and the work of installing them are guaranteed for 90 days. Should the fault we repaired reappear within those 90 days, the return visit is free. The warranty covers the repair we carried out rather than the whole appliance, so an unrelated component failing later is a separate job — and we will say plainly which of the two you are looking at.
